IE Process for Managing the Dean’s Evaluation Surveys

Overview

In accordance with Policy 4520, Institutional Effectiveness (IE) is charged with administering the Faculty and Staff Feedback survey and the Stakeholder Feedback survey associated with the evaluation process. Invitation lists are developed in consultation with the Vice Provost for Academic Leadership and Faculty Affairs.

While some questions are posed to all questionnaire invitees, others receive additional questions assigned to their constituency group (i.e., as faculty, staff, or members of the dean’s leadership team). At the end of the questionnaire, all groups are asked to respond to three open-ended questions, the only open-ended questions on the questionnaire. Some campus community members may receive invitations to provide feedback on multiple deans (e.g., department chairs/heads are invited to provide feedback on the Graduate and Honors College deans).

Institutional Effectiveness uses standard procedures for handling the sensitive data from these surveys. An overview of our protocols for maintaining security and ensuring respondent confidentiality is provided below.

Security and Confidentiality

  • After the questionnaire closes, IE stores raw response data in a secure network folder that is accessible only to staff members working on data analysis and their direct supervisor.
  • Individual responses are not reported by IE, but rather rolled together with others and reported in aggregate. No department or program data is a part of this aggregate file.
  • Quantitative data is analyzed and presented by IE in aggregate form only. Reports are presented at the college level and, within a given college, by constituent type (e.g., faculty, staff, or member of the dean’s leadership team). If a constituency group has less than five people, it will be combined with other groups to preserve anonymity.
  • Responses to open-ended questions are compiled verbatim and no individual information is associated with the individual comments. The constituent category, however, is associated with the individual comment (i.e., whether the specific comment was garnered from a faculty member, a staff member, or a member of the dean’s leadership team). Because comments are not redacted to remove identifying information that may be offered by the individual respondent, we encourage respondents to be mindful of self-identifying. 
  • IE transmits all results via password-protected files directly to the Provost. These files are not distributed to the dean, within the college, nor are they made public.
