Changes to an Active Employee Record need to be effective at the beginning of the Pay Period (SUNDAY)
Action Definitions and Resources
*Mid-Pay Period Changes negatively impact payroll calculations, time and labor calculations, employee leave accruals, as well as retirement processing and payments*
In order to minimize the risk of overpayment and underpayment, these actions may only have an effective date of the beginning of a pay period (Sunday).
- Changing from Benefit Eligible to Non-Benefit Eligible
- Title Changes
- Change in Hours
- Transfers, Promotions, and Reclasses
- Extend End Date
- Salary Changes
- Changing from Non-Benefit Eligible to Benefit Eligible
- Funding source changes that do not involve a Grant
- Changing Employee Type, examples but not limited to:
- Classified to Professional
- Student to Classified
- Professional to Classified
Acceptable Mid Pay Period Actions
- Hire or Rehire (an employee who doesn’t currently work at Boise State)
- Add Assignment
- Funding Source Change Adding or Removing a Grant Only
Effective Dates
To ensure employees are paid on a timely manner, Human Resources has calendars showing deadlines for when employee actions need to be fully approved, which is always the Thursday before the end of the pay period.
The payroll and holiday calendars webpage provides calendars that are useful to help keep track of due dates.
Please note a delay in pay may occur if deadlines are not met
