Equipment Rental
We have a variety of equipment and games available to guests during their stay. Ask your service desk about board games, tennis rackets, pool cues/billiards, ping pong, volleyballs, basketballs, etc. – items available vary by location. Please provide a form of identification to the staff member at the service desk in order to rent equipment.
Check-In/Out
Check-In
Our standard check-in time is from 11:00 AM-3:00 PM – unless prior arrangements have been made. In addition, our standard check-in location will be the service desk of your reserved guest housing.
Check-Out
Our standard check-out time is from 8:00 AM – 11:00 AM – unless prior arrangements are made. In addition, our standard check-out location will be the service desk of your reserved guest housing. To properly check out, please remove all personal belongings and bring your room key and building door access card to the service desk.
Please verify with your camp or conference director the check-in/out location/times as some groups have made alternative arrangements
Alternative Arrangements
If you need to make alternative arrangements for your personal check-in/out time, please contact guest housing immediately at guesthousing@boisestate.edu or 208-447-1050. Please note that check-in/out outside of the standard time without prior arrangements will be assessed a $50 fee.
Reservation Process
- Access the Form – Use the link below to access the inquiry form. If you’re new, just sign up! Returning users can log in with last year’s credentials (forgot your password? No problem, simply reset it).
- Tell Us About Your Event – Let us know the key details, like your preferred dates, number of attendees, and any special requirements.
- Submit Your Request – Once everything is filled out, just hit submit! You can update or add more details later if needed. Have multiple events planned? You can submit multiple forms by selecting “new inquiry” from the top menu.
Liability Insurance Requirements for Conferences at Boise State University
Liability Release and Indemnification
Conference sponsors are required to assume all risks associated with the use of Boise State University residence halls or any other areas of the University campus or property. Sponsors must waive and release Boise State University, the Idaho State Board of Education, the State of Idaho, and their officers, agents, employees, and representatives (collectively referred to as “University Parties”) from all claims related to economic loss, personal injury, disease, death, or property damage arising out of or related to the event or the use of campus facilities.
To the extent permitted by law, sponsors agree to indemnify, hold harmless, and not sue any University Party for any claims, liabilities, or expenses, including damages, personal injury, medical expenses, disability, lost wages, property damage, court costs, and attorneys’ fees. This indemnification is binding on the sponsor, its agents, and its successors.
Insurance Requirements
Sponsors must maintain the following types of insurance and provide a certificate of insurance naming Boise State University as an additional insured within 30 days of signing the agreement:
- Commercial General Liability Insurance: Coverage of at least $1,000,000 per occurrence and $2,000,000 aggregate.
- Commercial Automobile Liability Insurance: Combined single limit of at least $1,000,000.
- Workers’ Compensation Insurance: Statutory coverage including Employer’s Liability with minimum limits of $1,000,000/$1,000,000/$1,000,000.

Modifications and Waivers
The University’s Risk Manager may approve modifications or waivers to these insurance requirements in writing.
Governmental Entities
If the sponsor is a governmental entity as defined by the Idaho Tort Claims Act (ITCA), the insurance requirements listed above may not apply. However, sponsors must still provide a certificate of insurance that evidences satisfactory coverage, though the University does not need to be named as an additional insured.
State of Idaho Agencies
For state agencies, including any department of Boise State University, liability is governed by the ITCA and the State of Idaho’s Risk Management Program. These agencies are not required to meet the insurance requirements listed above. Each party is responsible for notifying Risk Management in the event of any claims related to the event.
University Liability Coverage
Boise State University, as a public institution, maintains self-insurance under the ITCA with liability coverage up to $500,000. The University’s liability is limited to the terms defined under the ITCA. The University assumes no liability for:
- Acts or omissions of the sponsor or its group.
- Theft, destruction, or loss of sponsor or group property, whether secured or unsecured.
Sponsors must ensure their own insurance coverage is sufficient to address all potential risks associated with hosting events on campus.
Mail & Packages
Camp or Conference Groups
We are only able to accept mail for the conference/camp as a whole. We request any group sending mail to email us at guesthousing@boisestate.edu so we can anticipate your mail or shipment. Please note, there can be a two to three day delay in us receiving any packages or shipments at our service desks.

Long-Term Guests or Interns
Guests staying longer than 31 days have the option of staying in University Suites or Lincoln Townhomes. Long-term guests will be provided a mailbox key and can have their mail/packages delivered to the appropriate address below:

Any mail or packages received after the guest has departed will be returned to sender or forwarded to the guest at their expense.
Linens
Linens are limited but available to guests charged at a one time fee of $40. Each guest will be provided with a linen pack set that includes: blanket, pillow, two flat sheets, towel, pillowcase, and washcloth. Please note, the beds are not made. Additional blankets are available upon request through our service desks, pending availability.
Laundry
Laundry facilities
Each residential facility has a dedicated laundry room within the building with high efficiency and high capacity washers and dryers free of charge. In addition, an app called “LaundryView” allows guests to know when their laundry is done; and what machines (if any) are available for laundry.
If your building has a community laundry room, you have access 24/7 with your valid Guest Housing door access key card.
If you are staying in the Lincoln Townhomes, University Square, or University Suites, there is a washer and dryer in each unit.
Detergent type
All washers and dryers are “high efficiency” machines. They conserve energy and water and reduce the amount of detergent needed. Conventional detergent creates a high volume of suds that will trip sensors on the machines and turn them off. Please only use laundry detergent intended for high-efficiency machines.
WASHER INSTRUCTIONS
- Load the washtub. Without overfilling, loosely put dry clothes into the washtub.
- Add high-efficiency detergent according to the instructions. High-efficiency laundry pods are easiest – one per load.
- Choose fabric type (normal, permanent press or delicate).
- View the price per load on the machine and then insert or swipe your credit/debit card for payment.
- Push to begin washing.
DRYER INSTRUCTIONS
- Clean the lint filter to improve drying.
- Place clothes in the dryer.
- Add dryer sheets to reduce static and add softness to fabrics.
- Set the temperature. Use high heat for normal fabric and low heat for delicates.
- View the price per load on the machine and then insert or swipe your credit/debit card for payment.
- Push to begin drying.
