Frequently Asked Questions
Zoom Phone Questions
When will I get access to Zoom Phone?
The Office of Information Technology is migrating users to Zoom Phone on a departmental basis. Migration began in June 2024 and is anticipated to be completed by June 2025.
We will contact your department/area before your scheduled migration.
Does everyone automatically get a Zoom Phone?
Everyone with a current university phone number will gain access to Zoom Phone to be used with that phone number. If you are not currently in the university phone system, you may make a future request for a softphone/deskphone to be provisioned in Zoom.
Those who have opted to use their personal phone and number for work may continue to do so.
What should I do after my Zoom Phone is setup?
Once your account is setup, you will see a Phone icon in your Zoom app and may begin using Zoom to make and receive calls. We recommend visiting the Zoom Support website or watching the Initial Zoom Phone Setup tutorial to get started.
What do I need to use Zoom?
Check out Zoom’s minimum system requirements for details.
- Computers:Â Windows, macOS, and Linux requirements
- Tablets & Mobile Devices:Â iOS, iPadOS, and Android requirements
Do I need to install the Zoom App?
We recommend Zoom’s web portal for configuring most Zoom settings and the Zoom app for the best meeting and call experience. Visit Boise State’s Download Center to download the Zoom desktop client app to your desktop or laptop.
For mobile devices, search for “Zoom” in your device’s app store and install the app.
General Phone Questions
Zoom Phone is like using a speakerphone all the time, what do I do?
OIT recommends using a headset to improve this experience. Alternatively, you can use the Zoom App on your cell phone and answer calls via your cell phone.
OIT has a few low-cost options available for department purchase. Both Poly and EPOS make great wired and wireless headsets in a variety of styles, so you can find one that works for you.
For assistance with selecting the right headset for your needs, contact OIT Procurement at procurement_oit@boisestate.edu.
Is there a cost to my department?
Zoom Phone licenses are free during the 2024-2025 fiscal year.
If an employee elects to order a physical handset for use with Zoom Phone, then there is a one-time charge for the cost of the handset (see below). However, handsets are entirely optional.
Can I request a common area phone?
A common area phone is a desk phone that is not personally assigned to a user and is instead assigned to a location for multiple users. Common area phones are typically located in shared spaces like lobbies, reception areas, or front desks. They do not include advanced features such as contacts, voicemail, or calendars, which are usually associated with individual phones.
A request for a common area phone can be submitted in through Help Desk Self Service. Each request will be reviewed and is subject to OIT approval. Common area phones are replaced at no cost to the department.
Can I request a desk phone?
Yes, a desk phone can be ordered and paid for by your department via a Help Desk Self Service request by clicking on Order Something > Order Phone. The desk phone will then be owned by your department and your department will have to pay for any future replacements or repairs.
A department may not purchase desk phones from a third party like Amazon or other online vendors.
I previously had a Cisco phone, will I be receiving a new desk phone?
Departments will need to purchases new desk phones for users.
Keep in mind, Zoom phone is primarily meant to be used as a virtual phone that users can interact with by downloading the Zoom application on their desktop or cell phone. A Zoom phone may be paired with a physical desk phone, but we encourage users to try Zoom phone before opting to purchase a desk phone.
